Photography Briefing Template: What to Send Clients Before Every Shoot

A shoot briefing is the single most impactful thing you can send a client before a session. It prevents surprises, aligns expectations, and makes shoot day run significantly smoother. This page gives you a complete briefing template with all four sections — ready to adapt and send.

Why Every Photographer Should Use a Briefing

Most photographers skip the briefing step and absorb the consequences on shoot day: clients in the wrong outfit, locations they haven't scouted, moments they didn't know to capture. A 10-minute briefing creation process eliminates most of these problems.

The brief works in two directions:

  • It sends information to the client (style reference, what to bring, where to go)
  • It collects information from the client (preferences, special people, logistics)

Section 1: Moodboard (3–5 Reference Images)

Include 3–5 images that represent the style, mood, and feel you're aiming for in this shoot. These don't need to be your own images — they're directional references to create a shared visual language with your client.

Notes for client: "These images represent the style and feel I'm planning for our session. They're meant as inspiration, not a blueprint — your shoot will be uniquely yours."


Section 2: Shot List (10–15 Specific Shots)

Must-Haves (prioritize these first):

Please share the following before our session:

  1. Outfit — What are you planning to wear? If you have multiple options, share photos and I'll help you choose.
  2. Special requests — Are there any specific moments, people, or shots you'd like to make sure we capture?
  3. Physical considerations — Is there anything I should know about mobility, allergies (for outdoor locations), or other considerations?
  4. Timeline — Do you have any time constraints on shoot day?
  5. Questions — Anything else on your mind? This is the time to ask.

How to Send the Briefing

What if my client doesn't respond to the briefing? Follow up once, 2–3 days after sending: "Just checking you received the briefing — let me know if you have any questions or if anything in the shot list should be adjusted." Most non-responses are just inbox overload, not disinterest.
