Client Questionnaire for Photographers: What to Ask Before a Shoot
The right questions before a shoot prevent the wrong surprises during it. A client questionnaire isn't about bureaucracy — it's about capturing the information that makes the shoot go smoothly and ensures you don't miss anything important. This page gives you a complete questionnaire organized by category.
Why Most Photographers Don't Ask Enough
The most common failure mode: photographers assume they know what a shoot entails based on the booking form and one conversation. Then shoot day arrives and they discover:
- The client has a grandmother who needs to be in every family shot but has mobility limitations
- There's a surprise proposal planned mid-shoot that nobody mentioned
- The bride's sister isn't speaking to her mother and shouldn't be photographed together
None of these are unreasonable things — they're just information that nobody thought to share because nobody asked.
The Complete Client Questionnaire
Category 1: Logistics
- What's the confirmed shoot location? (Full address)
- Is there parking? Any access restrictions we should know about?
- What time should we start, and is there a hard end time?
- Will there be other vendors or people present during the shoot?
- Is there a timeline or schedule I should have a copy of?
Category 2: Style Preferences
- How would you describe the style you're hoping for? (candid/posed, light/moody, colorful/muted)
- Are there any styles or types of photos you definitely don't want?
- Do you have reference images or a Pinterest board you'd like to share?
- Are there any images from my portfolio that particularly resonate with you?
Category 3: People and Subjects
- Who will be at the shoot? (Names, relationships, ages for children)
- Is there anyone who will be camera-shy or needs extra encouragement?
- Are there any family dynamics, sensitivities, or relationships I should be aware of?
- Are there any children — and if so, what are their approximate ages and temperaments?
- Is there anyone who absolutely must be in certain shots?
Category 4: Special Requests
- Are there any specific moments you definitely want captured?
- Is there anything happening during this shoot that would be helpful for me to know in advance? (Proposals, surprises, announcements)
- Are there any physical considerations I should be aware of? (Mobility, allergies, medical)
- Is there anything else you'd like me to know before we shoot?
Delivering the Questionnaire
The questionnaire works best when it's delivered as part of a structured briefing rather than as a standalone email. Lumeny's briefing feature includes a prep questions section — you can customize the questions per shoot type and clients fill them in through a single link.
Client Questionnaire Checklist
- Logistics section: location, timing, access
- Style preferences: visual direction established
- People: all subjects identified, sensitivities noted
- Special requests: surprises, moments, physical considerations
- Questionnaire sent 5–7 days before shoot
- Responses reviewed before shoot day
Frequently Asked Questions
Should I use the same questionnaire for every shoot type? Start with a master questionnaire, then adapt by shoot type. A wedding questionnaire needs ceremony timeline details. A corporate headshot questionnaire can skip most of the family dynamics questions. Keep the core structure consistent.
How do I get clients to actually complete the questionnaire? Frame it as being in their interest: "Completing this questionnaire takes 10 minutes and ensures I don't miss any important shots or moments." Most clients are happy to fill it in when they understand why it matters.
When should I send the questionnaire? 5–7 days before the shoot is ideal — enough time for them to fill it in thoughtfully and for you to review it before shoot day. Sending it at booking is too early (they'll forget) and the day before is too late (no time to act on surprises).
Is this different from a briefing? A questionnaire collects information from the client. A briefing does both — it collects information and sends information (style references, location details, what to bring). In Lumeny, the client prep questions are part of the briefing rather than a separate document. See: photography briefing template.
